Argonne’s Global Travel Office (GTO) has selected ADTRAV Travel as the lab’s new travel management partner. Starting Wednesday, July 18, 2018, ADTRAV will handle employee travel arrangements.
The change in travel management companies was the result of a review of the laboratory’s travel needs coupled with employee feedback, which showed that improved customer service, along with relevant and valuable safety measures, were top priorities for travelers. These key takeaways have become the cornerstone of GTO’s strategic plans, which will be detailed in an upcoming travel newsletter.
ADTRAV brings enhanced capabilities to the laboratory and individual travelers, including an updated version of the current online booking tool GetThere, which will feature a more user-friendly platform. Additional services include customer service surveys and reporting, call monitoring capabilities, VIP service, color-coded trip itineraries and improved duty-of-care features. These travel solutions complement GTO’s strategy of providing employees with the best service for their travel needs. In addition, ADTRAV’s robust reporting and analysis tool will provide individual divisions with greater transparency of travel data.
ADTRAV’s offsite team
Offsite ADTRAV agents will replace Omega Travel’s current onsite team. Additional capacity is being built in to handle Argonne’s increasing travel volume and fluctuations in call volume, helping ensure that employees’ travel requests are addressed more efficiently and in a timely manner.
As the travel management company for the U.S. Department of Energy’s (DOE’s) Office of Travel Management and other national laboratories, ADTRAV’s agents are well versed in DOE travel requirements. Additionally, they will be fully trained in Argonne’s specific travel policies and procedures.
ADTRAV’s contact information, including a dedicated 24/7 travel number and email address, will be communicated in early July 2018. Later this year, a chat feature will be added for additional convenience.
Action: Save travel history by July 6
The travel profiles from Omega’s system will be transferred to ADTRAV on Saturday, July 7, 2018. After July 7, modifications made to travel profiles and saved travel history will not be available. Employees who would like to keep a record of their travel history should capture and save this data with screenshots or other preferred tools no later than close of business July 6, 2018. Login to GetThere, Argonne’s booking tool to access profile history. Contact the Service Desk at ext. 2-9999 if you need assistance taking a screen shot.
GTO will notify employees when the transfer is complete and will also send regular reminders throughout the process.
After the transfer is complete, employees will be notified so they can reenter personally identifiable information (PII), which will not be part of the automatic transfer.
Fields that will need updating include:
- Date of Birth
- Gender
- Passport Number(s)
- Visas
- Redress Number
- Credit Card Numbers
This is a great opportunity to make any necessary updates to travel profiles, including changes in contact information, frequent flyer accounts, hotel memberships, etc. The cell phone field is now a required field and must be updated if it is not currently complete.
