Employees and their supervisors will now receive email alerts when changes to the employee’s Job Hazard Questionnaire (JHQ) remove them from, or add them to, medical certification and surveillance programs.
The new email messaging was developed by Axion, the electronic health record vendor for the ReadySet My Health system used by Health and Employee Wellness (HEW).
After an internal assessment and remapping of triggers and programs, Axion has linked the JHQ to the proper surveillance programs. Employees will be automatically removed from medical certification and surveillance programs if the relevant questions on the JHQ are unchecked. This should remedy most of the prior accuracy issues with compliance reporting.
When this removal occurs, the employee and supervisor of record will receive an email indicating the change and letting them know that the employee’s status will now show in the supervisor portal as “Not In Program.”
Employees who have worked with engineered nanomaterials, asbestos or beryllium but no longer have this hazard on their JHQs still have ongoing requirements for follow-up that do not apply to active worker programs. HEW clinicians will review these records to ensure follow-up takes place.
Conversely, the first time an employee checks a question on the JHQ that is a trigger for a mandatory medical surveillance or certification visit, the employee and supervisor will receive an email indicating they need to call HEW to set up an appointment. They will appear as “Non-compliant” in the supervisor portal until they meet the medical requirements.
The system will “go live” on Wednesday Feb. 1, 2017. If you get multiple email announcements for the same hazard, get an email that does not make sense when you look at your JHQ, or note errors in your supervisor portal or compliance reports, contact me at jstalker@anl.gov.
